BHA Front Office Staff Engagement and Coordination Specialist

       

Macfadden, an Amentum company, is seeking a Staff Engagement and Coordination Specialist to support the Front Office in USAID’s Bureau for Humanitarian Assistance (BHA).  BHA leads and coordinates the U.S. Government’s humanitarian assistance efforts overseas in response to natural disasters and protracted crises. The Bureau also supports early recovery efforts that restore and protect basic systems and services and invests in risk reduction programs that prevent or reduce risks associated with chronic and recurrent hazards. 

The Staff Engagement and Coordination Specialist will support internal communication and information sharing efforts across the bureau, USAID, and USG audiences, both through written deliverables and special project management.  The Staff Engagement and Coordination Specialist will coordinate closely with BHA’s Office of Global Policy, Partnerships, Programs, and Communications (G3PC) on providing Front Office inputs for strategic messaging. The Staff Engagement and Coordination Specialist will work on the FO Management and Integration Team (MIT) where their  day-to-day work assignments and oversight will be provided by the Managing Director and FO MIT team leader, with formal supervisory and evaluation functions performed by a Macfadden/PAE Contract Supervisor.

JOB DUTIES AND RESPONSIBILITIES:

Work with Front Office leadership to develop and implement a strategy and plan to facilitate better internal information access and sharing across BHA offices and staff, as well as with USAID/W, and Missions.
Coordinate closely with relevant G3PC divisions on internal communications with partners.
In coordination with BHA Leadership and the Managing Director, develop and draft regular updates to BHA staff with news, announcements, and other information.
Manage the production and dissemination of BHA monthly internal newsletter, including collecting inputs from office-level MITs that capture important bureau developments, initiatives, and updates.
Draft and edit internal briefers and communications materials in support of BHA offices.
Prepare correspondence, talking points, briefing materials, memos, internal newsletters, PowerPoint presentations, official cables, and other internal products as requested by the Front Office, working in coordination with relevant BHA offices.
Support the Managing Director to develop and implement a variety of communications to ensure that information about policies, procedures, approaches, systems, processes, and tools reaches BHA staff and other stakeholders.      
Support management and coordination of bureau-level content for the BHA and USAID intranet pages.       
Provide editing and proofreading, including catching spelling mistakes, punctuation errors, formatting issues, and graphic misalignment written and presentation deliverables, ensuring uniformity and adherence to agency style guidelines.
Coordinate closely with G3PC’s Strategic Communications and Humanitarian Information (SCHI) Division on feeding internal communications components into SCHI’s external communications efforts, as well as broader Agency internal communications efforts.
Organize and manage special projects, internal events, information sessions, and ad hoc requests, on behalf of the Front Office and as assigned by the Front Office Managing Director.

EDUCATION AND EXPERIENCE

Master’s degree and at least 6 years of professional experience, OR Bachelor’s degree and at least 8 years of professional experience, OR at least 10 years of professional experience culminating in a set of responsibilities similar to those of this position. 
Experience with strategic communications and outreach preferred. Relevant fields include – but are not limited to – journalism, communications, humanities, public relations or affairs, international relations, international development, public administration, development/area studies, and social studies.

REQUIRED SKILLS

Possess excellent written and oral communication skills and exceptional attention to detail.
Strong applied knowledge of the MS Office Suite (Word, Outlook, Excel, and PowerPoint) and Google applications.
Excellent planning, coordination, and organizational skills within multicultural work environments are required.
Be able to multi-task in a fast-paced environment with multiple, overlapping deadlines.
Work well with others to ensure that tasks are completed well and on time.
Be able to problem-solve and think critically.
Be flexible and adaptable to changing circumstances.
Be willing to go the extra mile.
