Job Description
Our Reston, VA office is looking for an experience Administrative Assistant to support a 70 person office with a large array of office management and administrative tasks. The ideal candidate will be organized, detail oriented and comfortable working independently and in teams.
This location of BAE Systems serves as the home office for our Cyber Security Products (CSP) business, a regional support and fulfilment site for our Geospatial eXplotation Products (GXP) business, as well as supporting a few other groups. These teams are friendly, collaborative, and enjoy advancing the mission of our DoD and other government customers.
As an Administrative Assistant, your duties will include:
Coordinate with facilities, custodial, contract service providers, and building management
Support customer visits, meetings, and events (greet guests, book and prepare conference rooms, and secure catering)
Maintain and organize supplies (copier, kitchen, shipping, etc. )
Collect and distribute all incoming mail and courier items
Prepare and facilitate outgoing mail and packages
Request updates to intranet site, seating charts and other company data bases
Support the Site Executive and coordinate the site news letter
Submit purchase request, track subscription and maintenance renewals
Assist with new employee on-boarding
Other duties as required

Required Education, Experience, & Skills

2 or more years of directly related experience
Ability to work independently, or in groups, and with minimal supervision
Knowledge and ability to use various computer programs and applications, including Microsoft Office, SharePoint and web forms
Strong organizational skills and attention to detail
Strong verbal and written communication skills; information exchange to facilitate positive, professional and efficient work processes and results
Manage multiple priorities and meet deadlines
Ability to establish and maintain effective working relationships with supervisors, other employees, and customer
Dedication to deliver strong customer service
Ability to review and apply policies and procedures

Preferred Education, Experience, & Skills

Familiarity with charging to multiple charge numbers or department
Experience preparing expense reports with allowable and unallowable cost types (as described under Federal Accounting Regulations)
Knowledge of Microsoft Teams, Coupa, and/or Concur
